Sponsors & Exhibitors FAQ

When do you expect the 'One Time use Contact List' be distributed to sponsors?
Sponsors will receive the email list of registrants ahead of the conference, once registration closes. We anticipate registration to close by the middle of May and will be sure to send the list as soon as it is ready. Sponsors may choose to use the one time email communication for either prior to the conference start or after the event.

When does conference registration happen?
Registration is open! Vendors and sponsors will receive more detailed instructions on how to register once their commitment is confirmed.

What is the anticipated number of participants sponsors need to provide swag or brochures for?
We are anticipating between 500 and 600 participants throughout the conference.

How much space (table size) will I have?
Tables will be approximately 6 feet long. If more space is needed please contact us and we will see if we can accommodate you

Are AV/outlets available?
More information will come closer to the conference.

Do I have access to a monitor?
No, we are not able to guarantee monitor access during the networking event.

Do I have access to the internet?
Yes, we will provide access to the campus Wifi upon your arrival.

How many people are expected to attend the vendor showcase and what’s the traffic like?
This is dependent upon our attendee number, but the conference is a popular association event. The vendor showcase will also be located in a primary conference area and we expect that most attendees will come by at least for a period of time. There will also be a networking event and other professional development activities taking place in the same building to encourage traffic flow.

When should I arrive?
This depends upon your schedule and whether or not you wish to join us for other conference programming. The Exhibitor Expo will take place from 3:00 - 6:00 pm, so we recommend you arrive by 12:00 pm so you have plenty of time to park, check-in, get set up, and eat lunch.

How many participant registrations are included in my sponsorship package?

Where should I park/do I need a parking pass?
Parking passes are not required for the conference. Parking in the Martire Center for Liberal Arts lot at 5401 Park Ave is the best parking lot for vendors to park in, if they are arriving right before the Vendor Expo and leaving immediately following. This will allow for easy access for loading and unloading with elevator access.

Where and when can I mail materials in advance of the conference?
Materials can be delivered as early as April 3rd and no later than May 12. Items can be sent to:

Can Sponsors set up return shipments through Sacred Heart?
UPS - Return shipments can be sent with a preprinted UPS label. Sacred Heat has a “SHU PAD” for printing and mailing needs on main campus – the entrance is right by the parking garage. Hours are Monday through Friday from 8:30 a.m. – 4:30 p.m. There is a daily pick-up at the Park Ave campus by UPS at 4:45 p.m. Monday through Friday.
FedEX -Return shipments can be sent with a preprinted label, sponsors will need to call FedEx to request a pickup at the West Campus loading dock and items would need to be delivered there. 

How do I tell you who from my team needs to be registered? When can my participants expect to get their registration confirmation?
We will send out registration instructions once your commitment is finalized. Registration confirmations will be sent soon after the registration is submitted. If you have further questions about this process, please let us know.

Are meals included? What about dietary restrictions?
All meals for registered attendees are included. You may share details regarding any dietary restrictions upon registering for the conference and we will do our best to accommodate any needs. Further questions? Please ask!

Will there be food at the vendor showcase?
Yes, there will be food at the Exhibitor Expo. There will be appetizers and both alcoholic and non-alcoholic beverages available.

Do you have room blocks or any preferred hotels?
Yes, we have room blocks reserved at a local hotel. You can find more information updated on our website here: accommodations

Will I receive a 'sponsor' ribbon?
Yes, all sponsors will be given ribbons to wear on their nametag that indicate that they are a sponsor.
